Please ensure all terms and conditions are read, understood and accepted. We cannot complete the hire of any vehicle under any circumstance until this has been completed. If you have any questions throughout the terms and conditions, please speak to a member of our staff.

Driving Licence and Identification

We will require your driving licence to be produced each time a hire is made.

We will need two utility bills that match the same address as the driving licence, dated within 3 months from the date of hire.

All drivers must hold a fl and valid driving licence for a minimum of two years. For all drivers that exceed 6 points (or have one single 6 point offence), we will need to refer to our insurers before confirming the hire.

We will use a DVLA licence checker (https://www.gov.uk/view-driving-licence) to ensure that each driver meets the insurance requirements. This requires you to input your driving licence number, national insurance number and postcode. This will generate a unique identification code that will need to be sent to us.

If the driving licence does not meet our insurance requirements, we will not be able to complete the booking.

Please ensure the check code is provided within 7 days to ensure a fl refund is given should you not meet the insurance requirements. Failure to provide the check code within this timeframe may result in a reduced refund. Please see refund guidelines below.

Additional Driver

We are able to add up to three additional drivers to each self-drive vehicle hire providing the additional drivers meet the insurance requirements. Each additional driver is £50.

Severe Weather

We reserve the right to refuse hire in severe weather conditions where there is a danger to the hirer and potential for damage to the vehicle. This can include but is not limited to; snow, ice or rain. In the unlikely circumstance this happens, we will offer a gift card to the same value of the hire to be used within 18 months.

Smoking and Pets

Under no circumstances are any hirers or passengers allowed to smoke or carry pets within any of our vehicles. Any evidence of either will result in a £150 charge for a full deep clean of the vehicle.

Fuel

All of our vehicles will come with a full tank of petrol for the start of your hire. You are requested to ensure the vehicle is returned to us with a full tank of petrol. Each of our vehicles use premium unleaded.

A fuel receipt will be required to show premium unleaded was used.

If the vehicle is returned without a full tank of petrol, we will automatically debit your card with a refuelling charge. The charge will be no more than the cost to refill back to the required level.

Gift Vouchers

Gift vouchers are valid for 6 months from the date of purchase and are non-refundable. All gift vouchers must be paid for in full at the time of purchase.

Payment

We will take a 50% deposit at the time of booking. This deposit is refundable for up to 7 days. Within the 7 day period you are able to cancel your booking for a full refund.

We will then require full payment to be made by 30 days prior to the hire date.

If the hire date is within 30 days at the time of booking, we will require payment in full.

We accept bank transfers along with all major credit / debit cards (except AMEX).

We will take a pre-authorisation deposit of £500 on either a credit / debit card in case of any extra charges once the hire has been completed (e.g. vehicle being returned without a full tank of petrol).

This charge will not debit your account but will show in the pending transactions. Your available balance will show as less the deposit amount. This facility will allow us to debit your account up to £500 should we need to do so.

Refund Policy

Please see breakdown of our refund policy. If your booking is cancelled:

  • Within 7 days = Full refund
  • Within 14 days = 75% refund
  • Within 28 days = 50% refund
  • After 28 days = No refund

Refunds of all pre-authorisation amounts will happen within 10 working days after they have been taken providing there have been no additional charges.

Trackers

All of our cars are fitted with trackers. This is for insurance and security purposes.

Whilst we do not track you on your journey, we are able to track driver behaviours. These driver behaviours will be used should there be any incidents which may require proof of speeding, late braking etc.

We have alerts set up to show us if the vehicles are being driven in a way that the trackers deem irresponsible. We reserve the right to cancel the hire, and ask for you to return to our base, with no refund, should you continue to drive in a manner which puts yourself and our cars at risk.

Your Responsibilities

You must look after the vehicle at all times. This includes the set of keys you will be given. You must lock the vehicle each time you are not using it.

You must protect the vehicle against bad weather which can cause damage.

You must ensure that the correct fuel is used. All of our vehicles use premium unleaded.

You are responsible for any damage caused by low-level objects such as branches, bridges or height restrictions.

You must not sell, rent or dispose of the vehicle or any of its parts. You must not give anyone legal rights over any of our vehicles.

You must not let anybody carry out any work on the car without prior consent by us. If we do consent to such work, a refund will only be given once the receipt is produced.

You must let us know as soon as you become aware of a fault in the vehicle. Any subsequent damage due to negligent behaviour will make you liable. You will be provided with emergency contact numbers.

You will bring the vehicle to the agreed drop-off point once the hire duration is over.

Each vehicle will be checked by a member of staff with the original inspection sheet to ensure no extra damage has been made to the vehicle.

You must ensure all personal belongings are removed from the vehicle upon completion of the hire.

The excess for each vehicle is £2,000. You are liable for the first £2,000, should the car be damaged during its hire with you.

Our Responsibilities

We will ensure the vehicle is maintained to at least the manufacturer's recommended standard, is roadworthy and will be suitable for renting at the start of the rental period. All cars are serviced and will be subject to a pre-hire check by one of our staff.

We are responsible for losses you suffer as a result of us breaking this agreement if the losses are a foreseeable consequence of us breaking this agreement. Foreseeable losses are those that could have been envisaged by you and us at the time the vehicle was hired.

We are not responsible for indirect losses which happen as a side effect of the main loss or damage whether or not foreseeable by you and us (such as loss of opportunity).

Conditions For Using The Vehicle

The vehicle must only be driven by you and by any other pre-authorised additional driver that has signed the agreement. All drivers must have a full valid driving licence and meet our insurance requirements.

You or any other authorised driver must not:

  • Use the vehicle for hire or reward
  • Use the vehicle for any illegal purpose
  • Use the vehicle for racing, pacemaking, testing the vehicles reliability and speed or teaching someone to drive. This includes the use of the vehicle around a publicly accessible race track
  • Use the vehicle whilst under the influence of alcohol or drugs
  • Drive the vehicle outside of mainland UK (England, Scotland, Wales) without pre-consented approval by us
  • Load the vehicle beyond the manufacturer's maximum weight recommendations and you must make sure that any load is secured safely

Towing

You or any authorised driver must not use the vehicle for towing unless we have given you written permission.

What To Do If You Have An Accident

You must phone the police if there are any injuries or disagreements over who is responsible.

You must call us as soon as it is physically possible to do so. Emergency contact numbers for our staff will be provided.

All hirers accept full responsibility for all damage caused to each vehicle due to negligent behaviour. It is essential we are made aware of any accident as soon as possible.

Do not accept responsibility for the accident. You must collect names and addresses for all those involved, including witnesses. Photograph the position of the vehicles prior to moving them - if it is safe to do so.

We reserve the right to hold your card details (from the pre-authorisation) until insurers have resolved all relevant issues relating to the accident.

You will be required to fill out our accident report once the vehicle has been returned. If this is not possible, we will require you to give a verbal statement, which will be transcribed. A copy will be sent to you and this will need to be signed and dated by you.

Returning A Hired Vehicle

Please ensure all personal belongings have been removed from each vehicle prior to returning. We will accept no responsibility for lost items.

Vehicles must be returned by the time agreed within the rental agreement. Late fees may apply.

The vehicle must be returned in a reasonable state of cleanliness. If it is deemed an unreasonable state (both exterior & interior) we will debit £150 from the pre-authorised card for a valeting bill.

Additional Charges

Additional charges are any extra charges that we have been required to take from your card due to negligent behaviour. This can include, but is not limited to, the below:

  • Having to refuel the vehicle if it is returned to use without a full tank.
  • Valeting service if the vehicle is deemed to have been returned in an unreasonable state of cleanliness.
  • All parking and traffic offences committed within the vehicle will be charged to you. All offences will need to be paid when stated by the relevant notice of offences. You will be responsible for any administration costs incurred by us for acting on your behalf should you not deal with the offence when deemed necessary.
  • Loss of income for any vehicle that is damaged and unable to be hired out due to your negligent behaviour. Loss of income occurs if the same vehicle has been booked by a third-party for its use in the period during which the vehicle is undergoing repair.

Ending The Agreement

If you are an individual, we will end this agreement immediately if we find out that your possessions have been taken away from you to pay off your debts, or a receiving order has been made against you. We have the right to end this agreement should you not meet the main requirements of this agreement.

If you are a company, we will end this agreement immediately if:

  • You go into liquidation
  • You call a meeting of creditors
  • We find out that your goods have been taken away from you until you pay off your debts; or you do not meet any of the conditions of this agreement
  • If we end this agreement it will not affect our right to receive any money we are owed under the conditions of this agreement. We can repossess the vehicle (and charge you a reasonable amount) without using unreasonable force or causing damage.

Governing Law

This agreement is governed by the laws of the country in which it is signed. Any dispute may be settled in the courts of that country.

Data Protection

You agree that we may use any information you have given us to carry out our own market research. If you break the agreement we can give this information to credit reference agencies, the Driver and Vehicle Licensing Authority (DVLA), debt collectors and any other relevant organisation.

Severance

If any provision of this agreement is held invalid, illegal or unenforceable for any reason by any court of competent jurisdiction, such provision shall be severed and the remainder of the provisions hereof shall continue in fl force and effect as if this agreement had been agreed with the invalid, illegal or unenforceable provision eliminated.
